Purpose:  The HIPAA EDI Viewer /Editor can be used to display and edit the contents of an EDI file that contains transaction sets that are mandated for use under HIPAA.  The structure is designed from the ASC X12N Version 004010 implementation guides with the Addenda applied. Pre-addenda files can be displayed but will be subject to the addenda changes. Because of that, it is possible that some pre-addenda files may not display correctly - this is due to the changes made in the addenda and is not a limitation of the viewer.  We are currently implementing 005010 transactions segment editing into our viewer.  005010 files can be viewed, edited, and saved.  However, the viewer does not check the structure or syntax of any 005010 files.  Any 005010 changes as implemented are included and free to evaluate/use until 2015    Note:  The 005010 final upgrade prices will be determined if and when the new version is available (delivery date has yet to be determined).

Pre-Installation:  The HIPAA EDI Viewer/Editor is for use on one of the following Microsoft operating systems (XP & Windows 7) with the most current Windows Updates applied.  If a previous version of the viewer is installed, it must be removed before you can install the new version. To remove a previous version, run the install program and it will prompt you to repair or remove a previous installation if one exists.  Remove the previous version, repairing it will not install then new version. 

Installation:   Double-click on HipaaEdiViewer.msi  file and the installation program will walk you through the installation process.  For client-server client installs use SuperSupport.msi for needed Windows functionalities.

Registration:  To register, please go to your Viewer/Editor's Printing Menu  and print out an Remittance Invoice for mailing a check or a fax sheet for faxing us your credit card information.  We will normally return a Registration Code the same business day  we receive your remittance   Unregistered copies do not have Saving and Printing capabilities.  The Viewer has a 30+ day evaluation period and then will require registration.  The registration fee is only $49.95 for each registration in advance (payable with a Check or Credit card).   Registration service is base upon individual machine (Machine Registration ID)  and cannot be transferred.  (See additional details at bottom of this page). Upgrades of Version 4.6 do not need registration service again on registered machines.  Quantity discounts are available on registrations of ten or more and there is a server based license option.  Contact:  sales@premierdatasoftware.com.

Help:  When using the Viewer Push the F1 key to view a PDF document outline on how to use the HIPAA EDI Viewer/Editor.  To use Help you must have a copy of the free Adobe Acrobat Reader installed.

Viewing:   When you receive a file or want to check an outgoing files browse to the EDI file by selecting the appropriate Drive and Folder , highlight the file, and click the Select button to load and display it.  The contents of the file will be displayed within the Treeview Detail tab.  The Headers pane shows the major sections of the EDI file. To view that section in more depth, click on a line in that pane. The additional details for that line will appear in the bottom pane.  You can show or hide the underlying data by clicking on the +/- signs in the Treeview Detail panes.  If you want to show/hide the LoopIDs, go to the Settings menu and click on the Show LoopIDs menu option.  If you check the Expand All menu options, also found under the Settings menu, then all of the details in the bottom pane will be expanded to show all segments. To view the actual values or raw data for a segment, you must select an item in the lower pane.   Each field will then be displayed in its own cell for easy identification.

Error Detection:  If your file has errors, the viewer will attempt to identify what and where the errors are.  If the viewer can figure out what is wrong the EDI Files errors will be displayed in the Errors pane and you will be able to click on an error to bring up that section of the file that contains that error.   Click on the line containing the error and review the raw data displayed in the bottom section.  If an EDI file is corrupt or has too many errors the EDI viewer may not be able to parse it for display or understand what is wrong.  If the records parsed on the Tree View Detail tab does not match the segment records on the Segment Detail tab, structural errors have occurred.

Exporting:   You also have the ability to export your file into a text file with Carriage Returns added in each segment.  This gives you the ability to import  your file in a text editor, word processor, spreadsheet, or database

Printing:   You also have the ability to preview and print out a EDI file and Error reports.

File Menu

Open Opens a window to select a file to open for viewing
Save Opens a window to allow you to save the file you are viewing
Close Closes the current file being viewed
Exit If checked, the drive, directory and file selectors will be shown 

Settings Menu

Record  Remittance Code Is used to record the Remittance Number (does not show when Viewer is registered
Build TreeView If checked option will build TreeView (on large files this can take time)
Expand All If checked opens the TreeView lists to show all lines
Show Loop IDs If checked loop IDs will be shown for all segments in TreeView
Build Segment Detail If checked Segment detail tab will be loaded so you can edit the file (faster)
Show File Selection If checked drive, directory, and file selectors will be shown 
Enable Syntax Validation Checks for valid codes.
Enable Trans Validation Checks for transaction formats and relationships

Segment Tools Menu (only available when viewing segment detail)

Find/Replace Allows you to search or Search and replace through the currently opened file
Insert Segment Inserts a segment before the currently selected segment (segment detail only)
Delete Segment Deletes the currently selected segment (segment detail only)
Copy All Segments Copies all selected segments from the Segment Detail Tab
Delete All Segments Deletes all selected segments from the Segment Detail Tab
Insert Segment Range Inserts a number of rows a the active segment line.
Export to Line Text File Inserts carriage returns at the end of each segment for simple Text Editors like Word Pad

Print Segment Detail Create a listing of the EDI records and a listing of Detected Errors
Print Remittance Invoice Create document for Check or Credit Card remittance for registration fees.

Editing:  In order to edit an existing EDI file, you must  click on the Segment view tab at the top of the screen. Once clicked, the screen should appear as below. In order to change the contents of a segment, click on that segment. A box should appear so that you can edit the segment. An element, sub-element, or segment delimiter can be inserted in by selecting the appropriate insert button from the delimiters sections located in the lower right portion of the screen.   The orange message below will show field listings for the selected segment.  Check with  HIPAA EDI Implementation Guides  for accurate usage.

Clicking the convert to upper case button will change all of the letters in the document to upper case. The copy data stream button copies the entire document into the Windows clipboard so that you can paste it into another document. The update button saves all of the changes that have been made since the file was opened.  

To search through the file, right click the segment detail and select find. You can also get to the find screen by clicking on Segment Tools menu and then select Find/Replace. From the Find/Replace screen, enter the data you wish to Search for and optionally Replace with.  If you want to limit the search to a particular segment, click the in Segment checkbox and select the segment that you want to search in.  Check the Match Case checkbox to make your searches case-sensitive.   There is a Replace All option that will allow the viewer to go through the whole file and make the specified replacements.  It is necessary to push the Update button if you want the changes to be saved.

  • Registration Service: Registration is a service and is required to use the HIPAA EDI Viewer beyond the 30+ day evaluation period.   Registration is required per machine and cannot be transferred to another machine.  In the case of a machine needing repair or reformatting or a change of users, Premier Data Software will re-register a registered machine (Same Registration ID).  For machine replacements, the registration remittance must be received before registrations services are rendered.  User agrees to pay all applicable state and local taxes associated with service fee tax liabilities.
